Incoming mail

Available for: Professional Enterprise

The incoming mail module lets you import emails (Outlook or Lotus Notes), faxes, electronic or scanned documents and assign them to parties or files. Moreover you can recored telephone memos and assign them the same way. A central management of your person related correspondence, mails and faxes within a case or party file provides access to all relevant documents for all authorized employees.

Invoice administration

Available for: Professional Enterprise

Whether you want to create invoices automatically or manually modify them based on the latest scale of charges, this module will help you doing it. Invoices will be linked to case files or parties and can be discounted depending on the invoice recipient. When official fees are calculated automatically all corresponding factors, such as number of classes of goods and services or rights, are taken into account. You can individually design the number and layout of invoice templates, which can be populated by corresponding workflows. When you create an outgoing invoice, you can easily included items you have been invoiced for (e.g. activities from communicating lawyers, official fees, expenses). Incoming and outgoing invoices are displayed comprehensively with many filtering and export options of list views to other formats like Excel and XML. As you individually define suitable templates you will ensure that your invoice items are complete and the invoice is created according to your corporate identity rules.

Activity recording

Link your activities from the timesheet conveniently to the corresponding case files, and when you invoice your client, you can include all cost items for the case file. The calculation of costs is done automatically based on the recorded activity duration. Cost items, currency conversions and hourly rates of your employees can be predefined. This module gives an overview of all activities for all files of a client, which were not invoiced yet, thus preventing incomplete or delayed billing. The detailed view inside the case file lists all recorded activities for this file.

Decisions

Available for: Professional Enterprise

By using this module you can aggregate several case files in one decision file, which depicts payment terms and corresponding propositions in a comprehensive way. The propositions can be generated either automatically or in a manual way. Depending on the decision necessary workflows (letter generation, term completion) are executed automatically. A centralized overview of all upcoming fees of case files allows for efficient decisions, which often have to be taken at a fixed date by a responsible committee. After you file your decision all required actions are triggered automatically and decision are written back into the single case files.

Inventor remuneration

This module enables the definition and management of different remuneration methods and specific scale tables. Standardized flat rates and remuneration methods as well as statutory scale tables are provided, and the most current tables are offered for downloading. An integrated payment module always calculates the exact remuneration. You can import turnover figures for specified products via the optional SAP module, or export inventors' remunerations in a transparent and correct way. The time consuming and complex determination of the remuneration amounts is performed in an automated, reproducable manner. By integrating internal turnover figures and the initial set up of fees for IP rights and products you set the preconditions for automatic remuneration calculation.

IP valuation

Define a valuation method with this module and store any valuation criteria with possible parameter selections in the case files. The execution of the valuation method and its criteria is done via specific reports and statistics. You can store valuations with user-defined criteria for invention disclosures, family files or a single application, which can then be valuated centrally or within a case file with corresponding reports and statistics. You will get a very flexible tool that helps you to adjust IP valuation procedures to your individual requirements.

Invoice Import

The module for invoice imports allows you to import all invoices from a particular time frame out of an Excel sheet provided by a law firm into WiNPAT. This simplifies procedures especially for patent departments in the industry, since invoices do not have to be registered manually and individually anymore.

Electronic filing

Available for: Professional Enterprise

This module enables the electronic filing of IP cases with DPMA (DPMA Direct) and EPO (epoline) directly from the corresponding WiNPAT case file. All necessary information including documents is transferred automatically, the confirmation receipt will be returned WiNPAT and filed in the case together with all application data. This way you can apply online smoothly, inexpensively and without errors. The whole application procedure is done in only a few steps.

Annuity interface

Available for: Professional Enterprise

WiNPAT can export information about new cases and changes based on predefined rules to your annuity service provider. Reminders from the provider, as long as they are in electronic format, will be automatically checked against WiNPAT data as an additional control mechanism. Depending on your contract (single payment order / standing order) WiNPAT automatically creates a positive or negative list for the service provider. Invoices from the provider are imported automatically and can be included into your invoices to clients or checked against previously issued invoices. This data exchange with the annuity service provider together with the import of confirmations drastically reduces error sources in the annuity payment process. The result is an increased security and transparency as well as a significant reduction of costs for annuity payments.

Accounting interface

A secure transfer of invoice data between existing accounting systems, such as Sage KHK, DATEV, SAP, and WiNPAT is possible with this module. Relevant data like accounts receivable, accounts payable, cost objects, cost units, etc. can be bi-directionally exchanged via a defined interface. This means you can transfer invoices created in WiNPAT with a single action into the existing accounting system or import information about invoices payed into WiNPAT. This automatic replication renders unnecessary the time needed for redundant and error-prone manual data transfers. By deploying the interface between WiNPAT and your accounting application you will achieve – besides high data quality and security – an integration of your IP management and accounting without cross-media conversion.

SAP interface

Available for: Professional Enterprise

Turnover figures (product data) and / or inventors data (HR) will be pulled from the corresponding SAP system, according to your internal policies, and supplied for the import into WiNPAT. WiNPAT imports these data into its product database as a basis for calcultating inventor remuneration or automatic matching of inventors data with existing person data. This ensures the consistency of your data, avoids duplicates and allows for a synchronization of WiNPAT with a leading SAP system.

Report Plus (from Version 5)

Available for: Professional Enterprise

Reports are required for any kind of analysis, management summaries, overviews etc. WiNPAT Report Plus lets you compose reports far easier than before. The module consists of a condition builder and a layout builder. Using the condition builder you define conditions for your selections, in layout builder you define, what fields you want to see in your result list. As conditions and the layout for reports are defined separately, you can individually customize any query and the way results should be presented. Certainly you can export results and process them further. You can store and copy reports and re-execute them as often as you want, even at fixed, predefined times. Results can be individually sorted, edited, extended, and exported.

Analytics and Analytics Plus (from Version 5)

Reports from the WiNPAT Report Plus module can be transferred to Analytics for a more detailed analysis. With Analytics you are able to present analyses and results in a unique visual view. Predefined analyses (e.g. all my cases incl. all cost units, classifications, countries, etc.) lighten recurring reports and can be exported to Excel or printed. Large WiNPAT data pools are ideally processed in Analytics, where they are presented in a comprehensive way, show dependencies, structures and patterns. The structure and quality of your data is testable at a glance, anomalies are detected immediately and can be corrected easily.

Workflow-packages

Data Quality
